Members & Roster
Everything you need to manage your club or school's membership roster.
Adding a member
By invitation: Go to Admin → Members → Invite Member. Enter the member's email, name, and role. They receive a branded email with a link to set their password.
By application: If you have an application form enabled (see Settings), prospective members apply via a public link. Review and approve from Admin → Applications.
Manually: Go to Admin → Members → Add Member to create a record without sending an invitation — useful when importing existing members.
Importing members from a spreadsheet
Go to Admin → Members → Import. Download the CSV template, fill in your existing member list (name, email, role, status), and upload it. The import creates member records; invitations can be sent afterward if needed.
Member roles
| Role | What they can do |
|---|---|
| Member | View schedule, sign up for slots, log flights, view their billing |
| Instructor | All of the above + sign off training records, grade Academy students |
| Admin | Full access to all admin functions including billing, settings, and reports |
| Owner | Same as admin — marks the primary account holder |
To change a role, go to Admin → Members → [Member name] → Edit.
Member statuses
| Status | Portal access |
|---|---|
| Active | Full access |
| Pending | Limited — can log in but may not book or sign up |
| Inactive | No portal access |
| Suspended | No portal access; often due to outstanding dues |
Resending an invitation
Invitations expire after 7 days. Go to Admin → Members → [Member name] and click Resend Invite.
Membership types
Assign a type (Standard, Student, Junior, Family, Honorary, etc.) to each member. Types can drive different dues rates in your billing configuration.
Dues and account balances
Each member has an account balance. Go to Admin → Members → [Member name] → Transactions to:
- View their transaction history
- Add a manual charge or credit
- Record a cash or check payment
- See outstanding invoices

Member profiles
Each profile shows: contact info, emergency contact, role and status, account balance, recent transactions, flight history, and training records. Admins can edit any field. Members can edit their own contact details.
Removing a member
To deactivate without deleting: change status to Inactive or Suspended. Records are preserved.
To permanently delete: go to their profile → Danger Zone → Delete Member. This cannot be undone and removes their auth account.
Applications
If enabled, prospective members apply via a public link. Submitted applications appear in Admin → Applications. Approved applicants are converted to members and sent an invitation automatically.
