Invoices & Vouchers
Issue invoices, track payments, manage credits, and redeem vouchers.
Viewing invoices
Go to Admin → Invoices to see all invoices across your organization — outstanding, paid, and voided. Filter by member, status, or date range.
To see invoices for a specific member, go to Admin → Members → [Member name] → Transactions.
Creating an invoice manually
Go to Admin → Invoices → New Invoice. Select the member, add line items (description, amount), set a due date, and send it. The member receives an email with a link to pay online.
Recording a payment against an invoice
Open the invoice and click Record Payment. Choose the payment method (cash, check, card, PayPal) and enter the amount. Partial payments are supported — the invoice stays open until fully paid.
Voiding an invoice
If an invoice was issued in error, open it and click Void. Voided invoices are kept for record-keeping but no longer appear as outstanding. The member's balance is adjusted.
Issuing a credit note
To reduce what a member owes without deleting an invoice: go to Admin → Members → [Member name] → Transactions → Add Credit. The credit reduces their outstanding balance and is applied to future invoices.
Vouchers
Vouchers are pre-paid credits that can be issued to members or sold to guests (e.g. for discovery flights or gift certificates).
Creating a voucher:
- Go to Admin → Vouchers → Create Voucher
- Set the value, expiry date, and optionally assign it to a specific member
- A voucher code is generated
Redeeming a voucher:
- Members enter their voucher code at checkout in the portal
- Admins can redeem manually from Admin → Vouchers → [Code] → Redeem
Tracking vouchers: Go to Admin → Vouchers to see all issued vouchers, their status (active, redeemed, expired), and remaining value.
Exports
To export invoices for your accounting software: go to Admin → Invoices → Export. Downloads a CSV with all invoice data for the selected date range.
