Scheduling & Flying Days
Manage flying days, bookings, sign-ups, and recurring schedules.
Flying days (soaring clubs)
A flying day is a structured session — a date, a list of available slots, and who has signed up. Go to Admin → Flying Days → Create Flying Day.
Slots
Each flying day has time slots that members sign up for. Configure slots with:
- Name (e.g. "Morning", "Afternoon", "All Day")
- Start and end time
- Sign-up limit (max members per slot, or unlimited)
- Roles (e.g. Tow Pilot, Duty Officer — members can sign up in specific roles)
Recurring flying days
Instead of creating each flying day manually, set up a recurring schedule: Admin → Flying Days → Recurring Schedule. Choose your flying days (e.g. every Saturday and Sunday), your slot template, and the date range. Canopy creates flying days automatically in advance.
Weather holds
If a day needs to be cancelled or held: go to the flying day and click Place Weather Hold. Members who signed up are notified by email. You can reopen the day later if conditions improve.
Sign-up windows
Control when members can sign up: Admin → Settings → Scheduling → Sign-up Opens. Set how many days in advance the sign-up opens and when it closes before the day starts.
Bookings (flying clubs and academies)
For organizations that book specific aircraft at specific times:
Aircraft availability
Configure which aircraft are bookable and during what hours from Admin → Bookings → Availability. Set daily availability windows per aircraft.
Member bookings
Members book from Bookings in their portal — select aircraft, date, and time. Bookings can be set to require admin approval or auto-confirm.
Instructor scheduling (Academy)
Instructors are assignable to bookings. Students select an available instructor and time when booking. The instructor's schedule is managed from Admin → Bookings → Instructors.
Cancellations
Booking cancellation policies are configured in Admin → Settings → Scheduling → Cancellation Policy. Set a cutoff (e.g. 24 hours) before which members can cancel without penalty.
Dispatch and checkout
On a flying day or at the start of a booking, admins use the dispatch board to check aircraft out. Go to Admin → Flying Days → [Day] → Dispatch or Admin → Bookings → Dispatch.
The dispatch board shows who is flying, which aircraft, and their expected return time. When a flight ends, log it from the dispatch board — this records the flight and applies any billing.
Notifications
Members receive email notifications for:
- Flying day created (if your org sends announcements)
- Their sign-up confirmed
- Weather holds and cancellations
- Booking confirmations and reminders
Configure notification settings in Admin → Settings → Notifications.
