Students & Logbook

Enroll students, track their progress, record training sessions, and manage FAA endorsements.

Enrolling a student

Students must first be members of your organization (any role). To enroll them in a course:

  1. Go to Admin → Academy → Students → [Student name]
  2. Click Enroll in Course
  3. Select the course and syllabus
  4. Assign a primary instructor
  5. Save

The student now appears on the Academy dashboard with their progress tracked against the syllabus.

The student's view

Enrolled students see a dedicated My Progress section in their portal:

  • Course overview and completion percentage
  • Lesson-by-lesson status (not started, in progress, proficient)
  • Upcoming stage check status
  • Ground and flight hours logged
  • Documents and endorsements on file

Students cannot grade their own lessons — only instructors can.

Recording a training session

After each flight, the instructor grades the lessons covered:

  1. Go to Admin → Academy → Students → [Student] → Record Session or from Instructor → Grade
  2. Select the date, aircraft, and flight duration
  3. For each lesson covered, select a grade (Introduced, Practiced, Proficient, Unsatisfactory)
  4. Add instructor notes
  5. Save

The session is added to the student's logbook and their progress is updated.

Ground training

Ground sessions (ground school, pre-flight briefings, simulator) can be logged separately:

  1. Go to Admin → Academy → Students → [Student] → Record Ground Session
  2. Enter the date, duration, topics covered, and instructor
  3. Save

Ground hours appear separately in the student's logbook.

Student logbook

Go to Admin → Academy → Students → [Student] → Logbook to see:

  • All flights and ground sessions logged in Canopy
  • Hours totals (flight, instrument, solo, dual, cross-country, night)
  • Lesson grades per session
  • Instructor notes

This is an internal record. Students should maintain a separate official FAA logbook. Canopy's logbook is a supplemental tracking tool.

FAA endorsements

Endorsements required for tests, solo, and certificate applications are tracked in Canopy. To record an endorsement:

  1. Go to Admin → Academy → Students → [Student] → Endorsements → Add
  2. Select the endorsement type (e.g. "Solo endorsement – 61.87", "Knowledge test – 61.35")
  3. Enter the date and signing instructor
  4. The endorsement is recorded and shown on the student's documents page

Stage checks

When a student has completed all lessons in a stage, they are eligible for a stage check. To schedule one:

  1. Go to the student's progress page
  2. Click Request Stage Check for the relevant stage
  3. Assign a check instructor and date

After the stage check: go to Admin → Academy → Stage Checks → [Check] and record Pass or Fail with debrief notes. A pass unlocks the next stage automatically.

The Academy dashboard

Go to Admin → Academy → Dashboard for a school-wide view:

  • All enrolled students and their current stage
  • Stage check pass rates
  • Average hours to proficiency per lesson
  • Instructor load (students per instructor)
  • Students with no recent activity (may need follow-up)
